Revision No.1
Date of revision4 October 2026

Site Matrix Pty Ltd (Site Matrix, we, us) provides engineering-led drone, thermography and non-destructive testing (NDT) inspection services. We respect your privacy and handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy explains what we collect, why, and the choices you have.

1. Information we collect

We only collect personal information that we need to respond to you and to deliver our services. This may include:

  • Contact details such as your name, email address, phone number, company and job title, when you submit an enquiry, book a discovery call, request our Capability Statement or subscribe to our newsletter.
  • Project information you choose to share with us, such as site addresses, asset details and the service you are interested in.
  • Inspection data captured while delivering our services, including drone imagery, video, thermal images and test results for the site or asset we are engaged to inspect.
  • Website usage information such as your IP address, browser type and the pages you visit, collected through cookies and similar technologies (see section 7).

2. How we collect it

We collect personal information directly from you when you complete a form on our website, email or call us, or engage us for a project. We may also receive information from your organisation, your insurer or loss adjuster, or other parties involved in a project you have engaged us on.

3. Why we use it

  • To respond to enquiries and provide quotes and proposals.
  • To plan and deliver inspections and prepare reports.
  • To send you the Capability Statement or other documents you request.
  • To send newsletters and service updates, where you have subscribed. Every marketing email includes an unsubscribe link, in line with the Spam Act 2003 (Cth).
  • To manage our business, meet our legal, regulatory (including CASA) and insurance obligations, and improve our website and services.

4. Drone imagery and people on site

Our drone and thermal inspections are planned and flown to capture the asset we are engaged to inspect. We take reasonable steps to avoid capturing identifiable people or neighbouring private property, and we do not use inspection imagery to identify individuals. Where incidental images of people or neighbouring property are captured, they are used only for the inspection and report, and are not published without appropriate consent. All flights are conducted under our CASA Remote Operator Certificate (ReOC 9692).

5. Who we share it with

We do not sell your personal information. We may share it with:

  • the client who engaged us, and parties they nominate (such as insurers, builders or engineers) in connection with that project;
  • trusted service providers who help us run our business, such as website hosting, email delivery, customer relationship and email marketing platforms (for example, Zoho), cloud storage and data processing software;
  • our professional advisers and insurers; and
  • government or regulatory bodies where required or authorised by law.

Some of our service providers may store or process information outside Australia, including in the United States and Europe. Where this occurs, we take reasonable steps to ensure the information is handled in a way that is consistent with the Australian Privacy Principles.

6. Ownership of inspection data

Inspection data, imagery and reports become the property of the client on delivery, unless agreed otherwise in writing. We retain a copy for our records, quality assurance and legal obligations.

7. Cookies and analytics

Our website uses cookies to make it work properly and to help us understand how it is used. Some cookies are set by WordPress and our website plugins, and we may use analytics and advertising tools (such as Google Analytics or LinkedIn) to measure and improve our marketing. You can block or delete cookies in your browser settings, although some parts of the website may not work as intended.

8. Security and retention

We take reasonable steps to protect personal information from misuse, loss and unauthorised access, including secure hosting, access controls and encrypted connections. We keep personal information only for as long as we need it for the purposes above, or as required by law, and then securely delete or de-identify it.

9. Accessing and correcting your information

You can ask to access or correct the personal information we hold about you by contacting us using the details below. We will respond within a reasonable time, usually within 30 days. You can unsubscribe from our newsletter at any time using the link in any email.

10. Complaints

If you have a concern about how we have handled your personal information, please contact us first so we can try to resolve it. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
